  • Payment details and transaction records (note: we do not store full card details when payments are processed via Square)

  • Uniform orders and sizing information

  • Photos and videos from classes, rehearsals, performances, and competitions (where applicable)

  • Website enquiry details (e.g., when you submit a form)

  • Communications with us (emails, messages, and enquiries)

We only collect information that is reasonably necessary for running the studio, providing services, and keeping students safe.

  • Online enrolment forms and website enquiries

  • In-person enrolment day forms or updates

  • Uniform orders

  • Performance/competition registrations

  • From parents/guardians, and in some cases directly from students (where appropriate)​

4. Communication (including Band)

We use Band as one of our communication platforms to share updates such as class information, rehearsal notes, reminders, event details, and other studio communications.

Please note:

  • Joining a Band group may display your name/profile (depending on your Band settings).

  • Messages and content posted in Band groups may be visible to other group members.

  • We encourage families to adjust their Band privacy settings to suit their preferences.​

 

5. Photos and videos

From time to time, we may take photos or videos during classes, rehearsals, events, or performances.

  • Where required, we will request consent for use in marketing (such as social media, website, posters, or promotional materials).

  • Families can update their media consent preferences at any time by contacting us.

  • Even with consent, we take care to present students respectfully and safely.​

 

6. Payments (Square and bank transfer)

We accept payments via Square and bank transfer.

  • Square: Payments processed through Square are handled securely by Square. We do not store full card details.

  • Bank transfer: If you pay via bank transfer, we may record transaction details (such as payer name, amount, date, and reference) for account reconciliation and receipts.​

 

7. How we share personal information

We do not sell personal information.

We may share limited personal information when necessary to operate the studio, such as with:

  • Square (for processing card payments)

  • Communication platforms used for studio updates (including Band, where applicable)

  • Competition organisers, venues, costume suppliers, photographers/videographers (only what is required for participation)

  • Service providers who support our website, admin systems, or file storage

  • Authorities or emergency services if required for safety or legal compliance

We take reasonable steps to ensure third-party providers handle information appropriately.

Personal information may be stored electronically and/or in hard copy. Access is limited to those who need it for studio operations (e.g., relevant teaching/admin staff).
